Job Description

MAIN DUTIES AND RESPONSIBILITIES

1. To provide generic administrative support appropriate to all Children Services Teams Service as specified by the Centre Manager and support volunteers onsite.

2. To provide cover for planned and unplanned absences of other administrators in other departments including reception.

3. To be the first point of contact for internal and external referrals by email or telephone including SPOC calls. To be able to deal with the referrer in a professional manner and assess the nature and urgency of the call and pass it on appropriate, maintaining confidentiality at all times.

4. To ensure the accurate typing up of minutes, documents, reports, letters and updating of databases where appropriate and maintenance of an efficient filling and on line data base system. To review and streamline process on the use of Unite ensuring a paperless system.

5. To be responsible for arranging meetings, liaising with external contractors, attending referral, SMT, team meetings where appropriate and ensuring minutes are taken and circulated in a timely manner.

6. To input monthly statistics for all services and update spread sheets regarding caseloads/outcomes per service, drawing monthly reports as required.

7. To undertake admin functions for specific time limited projects/reviews and support Centre Manager where appropriate for donor/trustee visits and events

8. To attend all necessary training in relation to the role as specified by the Centre Manager.

Essential

• Previous experience as an administrator.

• Experience of handling sensitive referrals from children/young people and their families.

• Evidence of identifying support needs of front line service personnel and meeting these needs.

• Evidence of using modern office machinery and IT and personal learning/development to enhance this.

• Experience of supporting multidisciplinary teams with varied administration needs. .

Desirable

• Experience of managing volunteers.

 

Qualifications

Essential

• Minimum qualifications at GCSE / O levels including English and Maths.

• Secretarial / PA / Administrative Diploma, NVQ, BTEC or similar.

 

Knowledge & Skills

Essential

• Ability to use Microsoft Word, Outlook and Excel.

• Knowledge and use of databases.

• Ability to take confidential and sensitive referral details directly from prospective service users.

• Dealing with distressed / angry service users.

• Good reading, writing and numeracy skills.

• Excellent and demonstrable administrative skills and competence.

• Excellent organisational skills.

• Ability to keep accurate records.

• Excellent report writing skills.

• Reception/Switchboard experience.

Essential

• Ability and willingness to work according to Norwood's policies and procedures.
